How to use
1
Enter the package priceWhat does the client pay — not what you wish you charged.
2
Add ALL hoursDelivery + admin. Most underpricing comes from forgetting admin hours.
3
Include direct costsSoftware subscriptions, subcontractors, or materials used only for this package.
4
Set your minimum rateIf the effective rate falls below this, the package needs a price increase.
Pro Tips
Count every admin hourPrep, scheduling, follow-up emails, and revisions are where packages secretly lose money — log them as delivery hours, not free extras.
Watch scope creepEach extra revision round or bonus call adds hours to the same fixed price, so re-run the numbers when a package balloons past its promised sessions.
Reprice from the floor upTo hit a target rate, charge (rate x total hours) + direct costs — at 14 hrs and $100 costs, a $150/hr floor means pricing the package at $2,200.

What is the Coaching/Consulting Package Profitability Calculator?

The Package Profitability Calculator reveals a coach’s real effective hourly rate on a fixed-price program once prep time, delivery calls, client support, and direct costs are counted — not just the sticker price divided by session hours.

How is it calculated?

Enter your package price, program length, delivery hours per client, prep and admin hours, and direct costs like software or materials. The calculator totals your true time investment, subtracts costs, and shows profit per client and your real effective hourly rate.

Worked example: what does a $2,000 coaching package really pay per hour?

  1. Add up your real time

Delivery is 10 hrs of calls/sessions plus 4 hrs of prep, emails, and revisions. Total time invested = 10 + 4 = 14 hrs per client.

  2. Subtract direct costs from the price

The client pays $2,000. Direct costs (software, materials) are $100. Gross profit per client = $2,000 – $100 = $1,900.

  3. Divide profit by total hours

Effective hourly rate = $1,900 / 14 hrs = $135.71/hr. That’s your real rate, not the sticker price.

  4. Check it against your floor

Your minimum acceptable rate is $100/hr. $135.71 clears the $100 floor, so this package is worth taking.

  5. Scale it across the year

    At 12 clients/year: annual revenue = $2,000 x 12 = $24,000, and annual profit = $1,900 x 12 = $22,800.

  6. Verdict

The package is profitable at $135.71/hr. If you added just 4 more admin hrs (18 total), your rate would drop to $105.56/hr — still above floor, but that’s how hidden hours quietly gut a package.

What price do you need to charge to hit your target hourly rate?

Frequently Asked Questions

How do I know if my coaching package is profitable?

Divide your package’s net revenue (price minus direct costs) by the total hours it consumes — sessions, prep, messaging support, and admin. If that effective hourly rate is below what you’d accept for 1:1 work, the package is underpriced or over-delivered.

What costs should I include when pricing a coaching program?

Count direct delivery costs (course platform, materials, contractor support), payment processing of roughly 3%, and every hour of your time: live sessions, preparation, between-session support, and onboarding. Hidden support time is the most common profit leak in fixed-price programs.

What is a good effective hourly rate for a group program?

Group programs should earn a multiple of your 1:1 rate — typically 2–5× — because you serve several clients in the same delivery hours. If a group program nets less per hour than 1:1 coaching, raise the price or cap the support included.

Should I raise my package price or cut delivery hours?

Model both in the calculator. Raising price lifts your effective rate immediately but may cost conversions; trimming low-value delivery hours (long calls, unlimited messaging) often raises profitability just as much without touching the price.
